How to Resend Reminders

Introduction

The "Resend Reminder" feature is designed to simplify sending training and phishing simulation reminders to users. This feature is beneficial when users miss essential emails related to training or phishing simulations for various reasons. With the "Resend Reminder" feature, you can resend campaign links or Certificates of Completion to users and monitor their receipt status. Additionally, it allows you to manage user deletion from specific campaigns and the associated dashboard and reports.

Before you start

·   This feature is designed to resend campaign reminders, not the initial Training or Phishing Simulation emails.

·   Before utilizing this feature, it is essential to confirm that both Training or Phishing Simulation reminders and Training Certificates of Completion have been activated.

·   When deleting a user, please note that it will solely remove their records from the chosen Training and Phishing Simulation and not from the system users list.

Getting Started

To perform actions related to the "Resend Reminder" feature, you will need the appropriate permissions: For Training or Phishing: Super admin, Managed service, Training admin.

Accessing the "Status" window

1. Navigate to Campaign Management > Training or Phishing.

2. In the campaign management window, locate the "General Training / Phishing list" table.

3. Click the "Status" button at the bottom of the window.

Performing Actions

In the "Status" window, you can perform various actions for single, multiple, or selected users.

Single User Actions

1. Resend the Training / Phishing Simulation Reminder.

a.  Use the search bar on the upper right of the "Users Activity" table to find the User you want to target.

b.  Select the User by clicking the checkbox in the "Users Activity" table.

c.  Click on the "Resend Reminder" button on the upper side of the "Users Activity" table.

d.  Confirm the action in the validation popup.

2. Resend the Training / Phishing Simulation Certificate of Completion

a.   Follow the same steps as above to find and select the User.

b.  Click on the "Resend Certificate" button.

c.  Confirm the action in the validation popup.

3. Delete User

d.  Find and select the User as before.

e.  Click on the "Delete" button.

f.   Confirm the validation popup.

g.   A V icon will appear in the "Delete" column in the Users Activity table.

4. Restore Deleted User

h.  Locate and select the User.

i.   Click on the "Restore" button.

j.   Confirm the validation popup.

k.  The V icon will disappear in the "Delete" column.

Selected Users Actions

When you want to act on selected users associated with the Training or Phishing Simulation without a specific logical order.

1. Resend the Training / Phishing Simulation Reminder

a.  Activate the "Bulk Action" toggle to the on position.

b. A new window will appear on the right side of the "Users Activity" table.

c. Use the "Users Activity" search bar to find and select users.

d. Click the arrow between the two tables to move selected users to the right table.

f. Continue adding users to the right table.

g. Click on the "Action" dropdown menu on the upper right side of the right table and select "Resend Reminder."

h. Confirm the action.

2. Resend the Training / Phishing Simulation Certificate of Completion

a. Follow the steps above to select users and move them to the right table.

b. Click on the "Action" dropdown menu on the upper right side of the right table and select "Resend Certificate."

c. Confirm the action in the validation popup.

d. If you choose users with a "Scheduled" status alongside others, a warning popup will appear as a precaution.

e. This warning popup gives you the option to apply it to those who have already received the certificate, ensuring that only unaffected users remain on the action list.

f. In cases where there is no certificate available for a particular training, the "Resend Certificate" option will be inactive.

3. Delete

a. Proceed as described above to select users and move them to the right table.

b. Click on the "Action" dropdown menu on the upper right side of the right table and select "Delete."

c. Confirm the validation popup.

d. An X icon will appear in the "Delete" column for each selected User in the "Users Activity" table.

e. When users with a "Deleted" status are included among other users, a warning popup will be triggered.

f. The warning popup enables you to apply actions only to users without a "Deleted" status, ensuring that only unaffected users remain on the action list.

4. Restore Selected Users

a.  Continue selecting users and moving them to the right table as before.

b.  Click on the "Action" dropdown menu on the upper right side of the right table and select "Restore."

c. Confirm the validation popup.

d. The X icon will disappear in the "Delete" column.

  • If users without a "Deleted" status are chosen alongside other users, a warning popup will appear.

  • The warning popup permits you to apply actions to users with a "Deleted" status, leaving only the unaffected users on the action list.
